Instructions for Lecturers
These instructions are for Lecturers and participants in Round Tables, who take part in the LinuxMed 2005. They are divided in Texts, Still images, Dynamic images and OpenOffice Presentations.
Complying with these while preparing the lecture or paper will diminish both complexity in editing and publication, and errors.
We suggest printing them to use them as a guide while preparing the material. The lectures and papers will be edited and published in the Web, and before their public dissemination, the Lecturer or Author will receive the address, so that he can access the material and perform a quality control.
If there are any doubts, or to send suggestions, please send a message to infobiolinux-linuxmed@yahoo.com.ar. Likewise, we are available in the same address for questions about scanning and image handling, etc.
Except for explicit clarifications, the submissions must be sent to send-co@fac.org.ar and infobiolinux-linuxmed@yahoo.com.ar
Attention: In all the submissions, the files have to be for PC (not for McIntosh).
Texts
The lectures and papers can be sent in any of the official languages of the congress: Spanish, Portuguese and English. In the cases of lectures and papers submitted in Spanish or Portuguese, it is suggested to send an English version, too.
To send the material of lectures and papers, it is indispensable to separate the text from the images, and to send the latter by e-mail as attached files in their original format.
* The text must be sent in OpenOffice 1.1.x format or AbiWord 2.x or .RTF files
* Font and format:
o Title: Arial 14, bold, in lower and upper case
o Author(s): Arial 12, bold.
o Source: Arial 10, normal
o Body of text: Arial 10, normal, one point leaded
o Epigraphs of figures: Arial 8, normal, one point leaded (see below)
o Bibliographic quotations in the text: Arial 8, normal, between square brackets [ ]
o Bibliography: Arial 8, normal, one point leaded
Images
The images can be still, such as graphics, pictures, or dynamic, such as videos of echocardiograms, angiographies, ventriculograms, etc.
* Still images
o Still images must be separated from the text and submitted as attached files in their own format.
o The epigraphs of each image must be included in the same file where the text is sent in OpenOffice 1.1.x format or .RTF format, listed after the bibliography.
o If to obtain them, they have to be scanned, the resolution must be equal or lower than 150dpi
o Formats: exclusively in .JPG or .GIF formats
o Maximum sizes in pixels: width 600, height 450 (if they are wider and/or higher, consider the possibility of splitting them)
* Dynamic images
o Dynamic images must be separated from the text and submitted as attached files in their original format.
o The epigraphs of each image must be included in the same file where the text is submitted in OpenOffice 1.1.x format or .RTF format, listed after the bibliography.
o Videos: the formats must be .AVI or .MPG and each file must have a maximum size of 500KB.
o Animated gifs: each file must have a maximum size of 100KB.
Presentations in OpenOffice
* Requirements
o The presentations sent in PowerPoint or in similar formats, must have texts accompanying each slide This requirement is based on previous experiences, when we observed that the slides with text made understanding the presentation easier.
o The presentations must have no more than 45 slides, and the files must be under 1MB.
o Each slide must have a number.
o To make reading in the screen easier, and to have a good printing quality, the slides must have:
+ up to ten lines of text.
+ high contrast between background and text: it is suggested to use light-colored backgrounds (dark ones make printing more difficult and expensive) with full colors, and not gradient
+ if there are institutional logos included, or masks with designs, it is suggested that they have no more than 10% in width and/or height of the size.
+ Tables: use the OpenOffice routine: Insert > Table. Try to avoid importing tables from others programs. Tables in graphic format can be inserted.
+ Graphs: it is better to use OpenOffice graph routines. Graphs in graphic format can be inserted, too. In the cases of bar charts, pie charts, etc., filling colors must be full (not gradient) and the references must be clearly visible (consider that the slide fills one third of the screen).
o For the text that goes with each slide there are two possibilities:
+ write the text in OpenOffice or .RTF file and send it as an attached file, taking care of numbering each text.
+ use the PowerPoint routine "Notes View":
# Generate the slides in the usual way,
# Next opt for the "See" menu, and then "Notes View"
# Write in the note window (at the bottom) the corresponding texts and save.
# Thus, the text for each slide is included in the OpenOffice file.
# Note: the order of the procedure must be followed: first generate the slide, and then activate the notes view.
We hope you understand the reasons for these requirements, and we thank you in advance for your participation in the LinuxMed 2005 activities.
